Well, it might be time for you to consider a career as a self-employed Virtual Assistant. In our increasingly digital world, the role of a virtual assistant has become more important than ever. With technology allowing us to work remotely and communicate seamlessly, virtual assistants have emerged as key players in providing impactful support to businesses and individuals worldwide. Yes, you heard me: the world is your goldmine, and anybody with a business can be your new source of income.

So, what exactly does a Virtual Assistant do, and how can you become one in Canada?

Virtual Assistants, Freelancers… Honestly, to me. It’s all the same.

Freelancing, Part-Time and Full-Time Contractors have been around for a while now. Essentially a Virtual Assistant is a remote professional who handles various client tasks. These tasks can range from executive support, managing emails, scheduling appointments, and social media management to more mundane and lower-level tasks like data entry. The benefit of being a virtual assistant is that now you have earned the flexibility of joining the WFA (Work From Anywhere) movement, allowing you to choose to work the hours that suit you best. 

There are a few steps you can take to become a virtual assistant in Canada. Before anything else, assess your skills and identify what services you can offer. Are you great at organization and time management? Do you have a knack for Graphic Design? Have your previous employers described you as being technically savvy? These are all marketable, high-income-generating skills. Once you know your strengths, you can build your portfolio and online presence.

Creating a website or a LinkedIn profile showcasing your skills and previous work will make you more visible to potential clients.

Networking can also be crucial for becoming a successful virtual assistant when you’re first starting out. Join industry-related groups and forums online, attend webinars and workshops, contact your Chamber of Commerce, and connect with people already working as virtual assistants. Building relationships with other professionals in the field can lead to referrals, valuable insights, and a potential waitlist of clients eager to pay you to streamline their lives. All you need is a reliable internet connection and the necessary skills to bring value to your clients.

Understanding the Role of a Virtual Assistant

To become a successful Virtual Assistant in Canada, it is crucial to have excellent communication and organizational skills. Knowledge of commonly used software and tools like CRMs, Project Management, Marketing, and Communications Tools can be beneficial when differentiating yourself. Serving a niche or specialization, such as working with Event Planners in the Food and Beverage Industry or creating content for Female Business Coaches, can help you stand out from the competition.

Finding clients as a virtual assistant can be challenging, especially for beginners. However, there are various platforms and websites where you can create a user profile to connect with potential clients. Connecting with your community by leveraging social media channels can also effectively attract the right opportunities.

Although becoming a virtual assistant requires comprehensive skills, knowledge of relevant tools, and the ability to market oneself effectively, venturing into the freelancer economy can be a rewarding and fulfilling career choice.

Skills Required to Succeed as a Virtual Assistant

First and foremost, excellent communication skills are essential. As a Virtual Assistant, you will be communicating with clients remotely, and conveying information clearly and professionally via email, phone, or video calls is crucial. Good listening and strong writing skills are also important when creating compelling outreach emails, understanding client needs, and responding effectively.

Organizational skills are another key attribute of a successful virtual assistant. You’ll be managing multiple tasks and deadlines simultaneously, so at minimum having excellent time management and delegation skills are required. Staying organized and efficient will help you complete tasks promptly while ensuring you maintain a high level of professionalism and reliability with your clients.

Lastly, technical skills are of utmost importance. Proficiency in basic computer programs such as word processing, spreadsheets, and email is a must. Additionally, being familiar with project management tools, video conferencing platforms, and other software used for remote work is necessary for your entrance as a virtual assistant.

To become a Virtual Assistant in Canada, it is usually recommended that you undergo some type of training or gain relevant work experience. I don’t believe in those “Make $10,000 a month as a Virtual Assistant with No Skills” scams because…well, they’re scams. Your clients will only pay and value you if they see that you have what they need. Most business operators and owners aren’t too gullible or excited to throw money at somebody they’re not confident will drive them to their desired results. Luckily, online courses can teach you the skills required to succeed in this role. Networking and building connections with other freelancers, virtual assistants, or industry professionals can also generate valuable insights and opportunities.

Setting Up Your Virtual Assistant Business in Canada

Determine what services you want to offer as a Virtual Assistant. Are you skilled in administrative tasks, social media management, or content creation? Finetune your suite of services to market to a niche or specialization to attract clients who can use your expertise to grow their businesses.

Next, you’ll need to set up your business legally. This involves registering your business type and your business name while obtaining any necessary permits or licenses. In Canada, you will need to register your business name first prior to registering for a GST/HST account. If you are a “small supplier”, meaning that your business’s revenue doesn’t exceed $30,000 over four consecutive calendar quarters (a year) then you aren’t required to register. However, you can choose to register voluntarily if you make any taxable sales. As aspiring an aspiring virtual assistant, it is important to familiarize yourself with the tax obligations for self-employed Canadians, as you’ll be responsible for keeping track of your income and expenses.

Once all your paperwork is done and your business is set up, it’s time to start marketing your services. Create a website, and remember, done is better than perfect. It will showcase your skills and experience, and be sure to optimize your website content and copy for search engines so potential clients can find you. Create content and routinely post on social platforms to engage with your ideal clients and network with others in your industry.

Finally, don’t forget to continuously invest in your professional development to update your skills and stay updated with industry trends. Consider joining relevant professional organizations or attending industry conferences to expand your knowledge and connect with industry pros to stay inspired and ahead of the game.

Finding Virtual Assistant Jobs in the Canadian and American Market

Maybe I got lucky, although I don’t think hundreds of outreach emails and job applications necessarily represent luck- But I found my first few clients on job platforms like Indeed and LinkedIn. I typed keywords to narrow dowm my search to actionable job listings I thoroughly reviewed to ensure they aligned with my skills and work preferences. Fortunately, after I applied and interviewed for those positions, I got my first two offers! In this dynamic landscape of modern business, many entrepreneurs and business leaders are now opting to hire subcontractors and freelancers to fill the talent gap. 

Leveraging your professional networks and attending industry-related events could also land you clients, from engaging face-to-face interaction to your winning personality and a striking first impression. Joining relevant forums and groups to network with other industry professionals may offer valuable insights and job leads. There are also websites designed to match self-employed individuals with businesses, such as UpWork and Fiverr, to find suitable opportunities.

Building a Strong Online Presence as a Virtual Assistant

​In today’s digital age, having an online presence is the bare minimum for any professional, I mean, take a look at how impactful using LinkedIn can be for other working professionals. To establish yourself as a reputable and reliable virtual assistant, here are some tips and tricks to build a strong online presence.

First, create a professional website that showcases your skills, experience, and services. Make sure it is clean, user-friendly, and mobile responsive. Utilize search engine optimization techniques to increase your website’s visibility in search engine results, and include relevant keywords to attract relevant traffic.

You might also want to consider starting a blog where you can share your knowledge and insights on topics related to your journey as a virtual assistant. If SEO optimized, this will position you as an industry expert and help drive traffic to your website. Use relevant keywords in your blog posts, including commonly searched phrases, to improve your visibility in search engine rankings.

Begin by setting up a LinkedIn Business Page—a virtual storefront for your services. Apply the same SEO principles: bio optimization, sharing engaging content, and connecting with industry peers and business leaders by regularly posting articles and insights about your virtual assistant expertise. Remember, consistency is key. While LinkedIn is often perceived as a platform for high-profile executives and CEOs, its influence extends far beyond the boardroom. Active participation on LinkedIn does more than just give you more connections; it crafts your personal brand, amplified by an algorithm that will enhance your visibility and reach. They’re willing to invest substantial sums—even hundreds to thousands of dollars—in professional copywriters. Never underestimate the power of networking. You can attend workshops, conferences, webinars, and local business meet-ups to connect with other professionals in your desired niche. Becoming fluent in either Google Suite or Microsoft 365 is a must; at a minimum, you should know how to use video conferencing tools like Zoom or Skype effectively. You can also use instant messaging platforms like Slack or Microsoft Teams to provide real-time support to your clients.
